How to Change Agencies?

You simply need to send an email to your current Property Manager notifying of the termination (we can help with the wording). Once we have signed a (Form 6) Appointment of Agent, we take care of the rest!

Communication

We pride ourselves on our communication and will keep you fully informed at all times! We understand the fear of the unknown, therefore keep you abreast of the tenant search and selection process, repairs and maintenance and general ongoing management.  

We will also provide access to an Owner portal in PropertyMe that gives you current information regarding your investment property including financials, inspection reports and detailed maintenance records. 

We understand the value of your investment property.

We strongly recommenced that all prospective tenants complete a physical inspection of the property, however in some instances we are flexible, for example, if they are relocating from out of town. All prospective tenants must submit a detailed application either online or hard copy.

Prospective tenants are checked through a National Tenancy Database (VEDA) for any previous defaults and any relevant referees are contacted. Reference checks do not guarantee a good tenant, however they do assist us to understand the prospective tenant’s history.  

We conduct a thorough screening process of each application before making our recommendations to you.  

Selection criteria includes:

  • Positive identification
  • VEDA clearance
  • Tenancy history
  • Ability to pay
  • Meeting any special lease criteria set by the owner or us
Tenant selection process property management

The greatest care is taken to ensure that the most suitable tenant is matched to your property. We are confident in our ability to attract and select quality tenants, however we also have the expertise to identify issues early on and have the procedures in place to mitigate this.   

Arrears

Our thorough tenant selection process means the number of tenants in arrears is always very low. We pride ourselves on the relationship with our tenants, so generally when a tenant encounters issues, they proactively contact us. However, if a tenant falls into arrears, fails to communicate and/or does not adhere to the plan, then our collection process is quickly activated according to the law.

We strongly recommend a suitable buffer be kept in your account as a safety net to ensure that mortgage repayments and other financial commitments can be met in the meantime. We encourage Landlord Insurance for added financial safety against rent arrears and damages etc. Contact us to discuss the benefits, risk mitigation and options.

Inspections

We have a comprehensive process for leasing out your property, routine inspections and entry/exit inspections.  

We conduct Open for Inspections for our rental properties regularly to ensure that your property is given the best possible chance of securing a quality tenant. We will provide you with a detailed summary of applications received for your consideration.

Inspections

Routine inspections are conducted on a regular basis, unless agreed otherwise. Following each routine inspection, you will receive an Inspection report (with photos) which contains a summary of how your tenant is caring for your property.  

Thorough entry and exit inspections are carried out and comprehensive reports provided to ensure that all parties are aware of their obligations.

Repairs & Maintenance

It is industry average to spend approximately 0.5% of a property’s value annually on general repairs and maintenance (depending on age and condition of the property) in proactive and reactive maintenance.

The tenant has a responsibility to care for your property and not cause excessive wear and tear. Emergency repairs need to be attended to immediately as protection of your property and the health and safety of the occupants is paramount.  

When we create the Form 6 Appointment of Agent, the below will be included in the repairs and maintenance section:

  • A maximum value equivalent to 2 weeks rent is permitted without prior approval for routine repairs. 
  • A maximum value equivalent to 4 weeks rent is permitted without prior approval for emergency repairs.

The above has been aligned to the new Residential Tenancy Laws regarding emergency repairs. The RTRA Act has full details on what constitutes an emergency and routine repair.

We engage professional tradespeople who carry public liability insurance. We are happy to use tradespeople of your choice, if they have similar insurance. You should also insure both the building and your contents (carpets, window furnishings, light fittings, electrical appliances and any furniture). Your insurance company should be notified that the property is tenanted as not doing so may breach your policy terms and conditions. If any appliances are under warranty, or have special working instructions, please supply these details to us.

Advertising

Along with the right price point, the promotional strategy is key to reaching the most prospective tenants and therefore promptly securing a quality applicant. We will advertise your property on the main real estate portals and through social media platforms.  

As part of our service, we will provide a professional script to ensure the features of your property standout. We can also arrange new photographs (if required) to ensure that prospective tenants can get a good ‘picture’ of your property prior to inspection.  

For all our rental listings on realestate.com.au, we will advertise your property as a Highlight property.
